Privacy Policy
How SGS Ecommerce protects, processes, and respects seller financial records, catalog data, and competitor monitoring data.
1. Overview & Commitment
SGS Ecommerce ("we", "our", or "us"), operated from Mumbai, India, provides marketplace analytics, margin reconciliation workbooks, and competitor price tracking software for online sellers. We are committed to protecting the privacy, confidentiality, and integrity of all user information and marketplace data.
This Privacy Policy governs our data handling practices and is aligned with the Digital Personal Data Protection Act, 2023 (DPDPA) and its Rules.
2. Data Privacy Commitment
- Competitor prices, stock status, ratings, listing titles and seller display names shown in the Price Tracker are drawn exclusively from publicly visible listing pages. See Section 4 for the exact fields collected and Section 5 for how they are sourced.
- Files you upload to the Report Portal are used only to generate your own reports. We never aggregate, benchmark, or pool your uploaded business data with any other seller's data, and it is never used to produce insights shown to anyone else.
- Competitor data you add to your watchlist, and the alerts generated from it, are shown only to your account. We do not share one customer's monitored URLs, watchlist, or alert history with another customer.
- Product images you track in Image Guard, the brand and trademark details you register, and any detections or takedown notices generated from them, are shown only to your account. We do not pool this data across sellers, and we never store or re-serve a competitor's copyrighted images, video or review text — Image Guard's detection pipeline derives facts (matches, page URLs) from the public web, not copies of content.
- SGS Ecommerce does not log in to, or connect through, your Amazon, Flipkart or Meesho seller account or any seller API to obtain the data described above.
3. Consent to Processing Your Personal Data
Where this Policy refers to your "personal data," it means information that identifies you as an individual — such as your name, email address, and phone number. During signup, you are shown a separate, standalone consent notice covering this processing, in addition to your acceptance of these Terms. That notice states what personal data is collected, the specific purpose, and how to withdraw consent, and your affirmative consent there is recorded against your account together with the date and notice version. You may withdraw that consent at any time as described in Section 9, though withdrawal may affect our ability to provide the Service to you.
4. Information We Collect
We only collect data strictly necessary to deliver reporting and tracking functionality to you:
- Account Information: Name, business email address, phone/WhatsApp number, and account credentials when you register.
- Seller Marketplace Data (via uploaded files): SKU codes, order counts, product titles, settlement fee breakdowns (referral fees, FBA pick/pack fees), advertising metrics (ACoS, impressions, clicks, spend), and inventory stock quantities, as contained in the files you upload.
- Public Competitor Information: Publicly available URLs, listing prices, product/listing titles, stock and Buy Box status, ratings, review counts, and public catalog rankings (BSR) added to your monitoring watchlist. We do not collect competitor product images, reviewer names, or review/comment content.
- Your Own Listing Information: When you import a product via your own marketplace listing URL, we retrieve and store the product name, price, rating, and one reference image from that listing for your own identification within the dashboard. You confirm that any listing you import is one you own or are authorized to manage.
- Image Guard — Your Own Photography and Brand Details: Product images you choose to track, and the SKU, brand name, trademark/registration details and contact information you register for filing takedown notices. You confirm ownership or authorisation for each image you track, as described in our Terms & Conditions, Section 8.
- Image Guard — Detection Records: The URL, marketplace and detected seller name of a page found to be using one of your tracked images, and a copy of the image as it appears on that page, kept as evidence for a potential takedown notice.
- Usage and Technical Data: IP address, browser/device type, login timestamps, and basic usage logs, used to secure your account and operate the Service.
5. How Competitor Data Is Sourced, and How Image Guard Detects Matches
Competitor information described in Section 4 is collected using automated requests to publicly accessible web pages, retrieved through third-party data-retrieval services for the large marketplaces, and with direct requests only for independent online stores. We do not use credentials, bypass paywalls, or circumvent authentication systems to obtain this data. Further detail is available in our Terms & Conditions, Section 15.
Image Guard submits your tracked images to Google Cloud Vision's reverse-image search to find pages across the web that may be using them, then verifies each candidate against publicly accessible marketplace pages before showing it to you as a detection. Google Cloud Vision receives only the image itself, not your account or personal data.
6. How We Use Your Data
We use your data solely to provide the services you explicitly request:
- Generating SKU-level profit, margin, and reconciliation Excel reports.
- Calculating advertising performance and inventory reorder forecasts, based on the files you upload.
- Sending price and stock-change alert notifications via Telegram or email.
- Reverse-searching your tracked images to detect unauthorised use, and preparing takedown notices, cease-and-desist letters and marketplace IP complaints at your direction.
- Authenticating your account and providing customer support.
- Securing the Service and investigating misuse, in accordance with Section 5 of these Terms.
7. Data Retention & Right to Deletion
We retain your data only for as long as your account remains active or as needed to provide you with ongoing services:
- Uploaded File Retention: Raw settlement/sales CSV files uploaded to the report tools are automatically purged from our temporary processing storage within 30 days of generation. Generated reports remain available in your account until you delete them or close your account.
- Watchlist and Alert History: Monitored URLs and their price/stock history are retained while your account is active, and for up to 90 days after cancellation in case you reactivate, after which they are deleted.
- Image Guard Records: Tracked images, brand/trademark details and detection records are retained while your account is active. Records tied to a takedown notice you have filed are kept as evidence for as long as that case may reasonably be disputed, even after you stop tracking the underlying image.
- Account Deletion: Upon closing your account or submitting a written request to growth@sgsecom.in, all your stored account records, uploaded files, and watchlist data will be permanently deleted within 30 days, except where we are required to retain limited billing records for tax or accounting purposes under Indian law.
8. Data Storage, Hosting & Third-Party Processors
- Our application and database are hosted with Hostinger, with servers used for this Service located as configured in our hosting account. We do not currently transfer your personal data outside India as part of ordinary Service operation.
- We use a third-party data-retrieval infrastructure provider to help retrieve the publicly available competitor information described in Sections 4 and 5, and to help Image Guard verify a candidate page before showing it to you as a detection. This provider does not receive your personal data — it is instructed only to fetch publicly visible pages you specify.
- We use Google Cloud Vision to reverse-search your tracked Image Guard photographs, as described in Section 5. Only the image itself is sent, not your account or personal data.
- We use Telegram's notification service to deliver alerts you opt into; message content is limited to the alert information itself (e.g. product name, price change, or a new Image Guard detection).
- We use a payment processor to handle billing for paid subscriptions; we do not store your full card details ourselves.
- If this list changes materially, we will update this Policy and, where required, notify you.
9. Your Rights and Choices
You have the following rights over your personal data, consistent with the DPDPA:
- Access: Request a copy of the personal data we hold about you.
- Correction: Request correction of inaccurate or incomplete personal data.
- Deletion: Request deletion of your personal data and account, as described in Section 7.
- Withdraw Consent: Withdraw the consent described in Section 3 at any time. Withdrawal does not affect processing already carried out, and may mean we can no longer provide some or all of the Service to you.
- Grievance: Raise a concern about how we handle your personal data, as described in Section 12.
To exercise any of these rights, email growth@sgsecom.in from your registered account email. We will respond within a reasonable time, and in any event within the timelines required by applicable law. If you are not satisfied with our response, you may file a complaint with the Data Protection Board of India.
10. Data Security Standards
To safeguard your business data against unauthorized access, loss, or alteration, we implement the following technical controls:
- Encryption in Transit: Data transmitted between your browser and our servers is encrypted using HTTPS/TLS.
- Encryption at Rest: Stored database records and generated report history are encrypted at rest.
- Access Control: Access to production servers and data is restricted to authorised personnel on a least-privilege basis.
- No method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security, but we work to apply industry-standard safeguards appropriate to the data we hold.
11. Incident Response & Breach Notification
We maintain a security monitoring and incident response process. In the event of a confirmed security incident impacting your personal data, we will notify affected users without undue delay, and in accordance with applicable law, and will take reasonable steps to contain and remediate the incident.
12. Cookies
Our website and dashboard use essential cookies required for login, session management and basic functionality. We do not currently use third-party advertising or cross-site tracking cookies. If this changes, we will update this Policy and provide the relevant controls.
13. Children's Data
The Service is intended for business use by adults operating or managing an e-commerce business. It is not directed at, and we do not knowingly collect personal data from, individuals under the age of 18. If you believe a minor has provided us with personal data, please contact us at growth@sgsecom.in and we will take steps to delete it.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Material changes will be communicated by email or in-app notice, and where such changes materially affect your rights, we will seek renewed consent as described in Section 3.
